Our Services: Property Management
The Pride Property Management Corporation Manager assigned to your property will be responsible for overseeing every aspect of your property’s operations according to your direction. These responsibilities include, but may not be limited to:
- Visiting your property according to an established schedule to evaluate progress, personally supervise staff, and oversee all matters that properly fall to the Manager;
- Ensuring that monthly rent/maintenance/common charge billing is prepared and delivered/mailed according to your instruction and deadlines, and that payments are collected, logged, and deposited into the appropriate accounts;
- Disbursing payments to vendors, contractors, and suppliers to your instruction;
- Remitting mortgage payments, real estate taxes, water/sewer taxes, payroll taxes, and all other obligations in a timely and complete manner on behalf of your property;
- Supervising, training, and maintaining files on your property’s staff members, including employee performance reviews and the establishment of a working relationship with the union(s) involved in your property;
- Receiving and responding to resident communications in a timely and appropriate manner;
- Attending all regularly scheduled Board Meetings with professionally prepared meeting agendas, Minutes, and Monthly Management Reports;
- Preparing for and overseeing Annual Meetings, Annual Budgets, and other similar responsibilities;
- Providing knowledgeable guidance regarding daily and short-and long-term operations and objectives;
- Securing bids for necessary work, and knowledgeably discussing procedures with the Board prior to proceeding;
- Performing all other requirements and responsibilities according to mutual agreement by your property’s decision-makers, Pride Property Management Corporation, and your Pride Managing Agent;
Specific Management Functions
- Daily Functions
The professional Pride Property Managing Agent assigned to your account will supervise your property’s daily operations, ensuring the highest standard of management and maintenance services. Your Pride Property Manager will monitor the performance of all staff members on a daily basis, and will maintain regular, ongoing communication with the Board to advise and consult on the full range of management and maintenance issues.
- Preventive Maintenance Program and periodic Building Survey
Pride Property Management Corporation will develop a highly effective, customized Preventive Maintenance Program unique to your property to ensure the prolonged useful life of your property’s structures and systems. Pride staff will monitor all your property’s mechanical systems regularly to verify and ensure efficient performance. Your Pride Managing Agent will conduct weekly building wide walk-throughs, and will meet at least weekly with your property’s superintendent to discuss the condition and maintenance of mechanical systems. Minor repairs will be made promptly to prevent the aggravation of damage or decay and to minimize downtime and inconvenience to residents. Contracts with outside vendors, contractors, and service organizations will be closely supervised to ensure cost-efficient, quality work.
In addition, your Pride Property Manager will inspect your property and its physical environment on a regular basis, and will document his/her findings to the Board. Part of Pride Property Management Corporation’s programs of ongoing preventive maintenance and quality control, these periodic building surveys will enable your Pride Property Manager to improve your property’s daily operations and maintain a reasonable bottom line by preventing the escalation of potentially troublesome and costly conditions.
- Repair and Contract Policy
Pride Property Management Corporation and the Pride Managing Agent assigned to your property will establish working relationships with you property’s maintenance personnel, resulting in substantial savings for your property. Whenever possible, repairs will be handled by your on-site property staff. Work that must be contracted will be scrutinized for cost-efficiency and quality by your Pride Property Managing Agent before payment is remitted. All contracts will be put out for bid to no fewer than three separate appropriate entities. Since Pride Property Management Corporation is not obligated to any individual vendor, contractor, or supplier, your property will benefit from the best price for the highest quality products and services. Your Board will be consulted prior to engaging any contractor, and contracts will be awarded only upon Board approval.
- Inventory Control
Pride Property Management Corporation supervises a formal, written purchasing procedure through which each purchase order bill, delivery tickets and invoice is carefully reviewed. This system ensures efficient and economical purchasing of necessary supplies. In most cases, your superintendent will request approval prior to purchasing building supplies, which request must be approved by the Pride Property Managing Agent, and depending on your instruction, also by the Board. Pride Property Management Corporation makes every effort to secure the most cost-efficient prices for necessary supplies and inventory items.
- Staff Supervision
In concert with a senior Pride Property Management Staff member, the professional Pride Property Managing Agent assigned to your property will establish and monitor work schedules for your property’s superintendent and maintenance staff. Your Pride Property Manager will call upon years of professional experience and industry expertise to motivate staff, mediate employee performance problems, and provide feasible alternatives.
- Response to Emergencies
The principals and professionals at Pride Property Management Corporation know full well that managing your property will be a 24-hour-a-day, 365-day-a-year responsibility. Pride Property Management Corporation is therefore on call at all times to respond to emergencies. Should an emergency arise that requires immediate action, your Pride Property Manager will use his/her best judgment to ameliorate the situation, and will communicate his/her action to the appropriate property decision-maker as quickly as possible. In addition, all clients in good standing are given the personal home phone number of Pride Property Management Corporation President Glenn P. Kuffel, ensuring direct communication and elimination of “red tape” delays.
- Local Laws and Legislation
The federal, state, city and individual district laws and regulations governing residential properties in New York City are complex and ever-changing. Pride Property Management Corporation keeps abreast of these developments and shares them with clients as they occur through a computerized system dedicated specifically to this purpose. In addition, Pride Property Management Corporation will serve as your liaison and central mailing address for all communication to and from federal, state, city and all other agencies with jurisdiction over your property.
Specific Financial and Administrative Services
- Bookkeeping and Record-Keeping
Supported by the state-of-the-art technology and software, and functioning under the supervision of Pride Property Management Corporation Vice President and Chief Financial Officer, Joyce Wolf, Pride Property Management Corporation will assign to your property a qualified, experienced accounts receivable bookkeeper and accounts payable bookkeeper.
Additionally, Pride Property Management Corporation will maintain resident files, administrative files, financial statements, and all other pertinent records to ensure the orderly operation of your property.
The individuals responsible for maintaining your property’s bookkeeping and records will be available to respond to questions and requests for information during regular working hours and on an emergency basis as needed.
Your Monthly Operating Budget, Bank Reconciliation and Financial Statements
Your Board will receive, on or before the 10th of each month, a detailed, easy-to-understand Income/Expense report. This report will include disbursement statements, bank statements, and copies of paid invoices.
- Budget Planning and Projections
Your Pride Property Manager and Pride Property Management Corporation’s Financial Officers will coordinate with your property’s Treasurer and Accountant to prepare realistic operating budgets for the Boards’ review and implementation. These budgets will be prepared in a timely manner, and will accurately reflect your property’s current financial condition, as well as forecasting the coming year’s budget considerations as accurately as current information allows.
- Insurance Coverage
While Pride Property Management Corporation will not endorse any individual carrier or product to the exclusion of others, your Pride Property Managing Agent will analyze your current insurance portfolio to determine the adequacy of your coverage and to make alternative suggestions, where appropriate. In addition, Pride Property Management Corporation will prepare claims for submission and payment, and will follow up to ensure timely action by your carrier. Should you determine to investigate alternatives when your policies are due for renewal, your Pride Property Managing Agent will solicit at least three bids from other carriers, and will supply a list of alternative carriers for your consideration.
Board/Resident Relations and Communications
- Board Meetings and Minutes
Your Pride Property Managing Agent, accompanied as necessary by a Pride Property Management Corporation Principal, will attend each regularly scheduled Board Meeting. There, your Pride Property Managing Agent will present a professionally prepared Monthly Management Report, informing the Board of all actions taken on behalf of your property in the month prior, of the progress of capital improvement programs, repair problems, or employee performance. This report also will address ongoing, current, and upcoming issues that impact your property.
In addition, should your Board so request, your Pride Property Managing Agent also will provide accurate and timely meeting Minutes. Or, should your Board so desire, Pride Property Management Corporation will assist with the engagement of an objective professional Minutes-recording service to provide timely records of your meetings.
- Shareholder/Unit Owner/Resident Relations and Communications
Pride Property Management Corporation will act as communication liaison between the Board and shareholders/unit owners/other residents. On behalf of your property’s decision-makers, your Pride Property Managing Agent will respond promptly to requests for repairs and information, as well as to complaints and disputes between residents, by politely and firmly enforcing your established guidelines, by-laws, and House Rules according to your instruction.
In addition, Pride Property Management Corporation will further assist with the preparation and promulgation of building wide communications, bulletins, newsletters, sublet and resale packages, etc.
